Overture Partners' client has an immediate need for an Administrative Project Coordinator. To secure an interview for this role, candidates must meet the following criteria:

Must Haves:
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Access, Visio).
  • Ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills across various departments.
  • Ability to work independently with minimal supervision.
  • Demonstrated skill in complex administrative duties requiring independent judgment and decision-making.
  • General understanding of IT technologies and processes.
  • Knowledge of methods used in the preparation of charts, graphs, and pivot tables.
  • Ability to multitask and manage competing deadlines effectively.
  • Strong organizational and planning skills.
  • Self-confident, flexible, responsive, and eager to learn.
  • Strong information-gathering and monitoring skills.
  • High attention to detail and accuracy with a proactive approach.

What the Client Needs you to Do:
Works with a high level of professionalism, organizational skills, and a desire to work in a fast-paced, performance-driven environment. This individual will serve as the primary administrative support and coordinator for the Chief Information Office (CIO). Responsibilities include daily core administrative tasks and coordination of mission-critical activities. Additionally, ad hoc projects will be completed as needed to support various requests for information and executive-level presentations. The ideal candidate is highly motivated, mature, goal-driven, a fast learner, and exceptionally organized and adaptable to change. Proficiency in Microsoft Office tools is required.

Detailed Job Duties and Responsibilities:

The CIO Project Coordinator will provide the following services (including but not limited to):
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and adjusting plans.
  • Conducts research, collects, and analyzes data to prepare reports and documents, including running queries and summarizing information into consolidated charts and graphs.
  • Coordinates monthly meetings on behalf of Executive IT Management, including preparation of agendas, related correspondence, presentations, and follow-up activities.
  • Provides calendar management support to the SCIO (backup function).
  • Assists in meeting preparation, including agenda and materials development.
  • Sends reminders for overdue action items and conducts follow-up.
  • Attends meetings, records decisions and action items in minute format, and organizes both electronic and hard-copy meeting materials.
  • Coordinates off-site Executive Management meetings and other related events as necessary.
  • Assists with day-to-day facilities-related requests and issues.
  • Acts as a liaison on safety and facility-related concerns for the Quincy office.
  • Manages and orders central IT office supplies as needed.
  • Produces H1B letters, tracks and reports on requests, and serves as a liaison to the legal team regarding H1B letter requests.
  • Assists with educating staff on office policy.
  • Develops and maintains a professional culture in the SCIO office.
  • Provides courteous and efficient general office assistance to all members of the IT department, including live support when needed.
Educational Requirements:
  • Bachelor’s degree in business or equivalent experience.
