Job Overview

We are seeking a detail-oriented professional to support clients with quarterly and annual state reporting requirements related to Workers’ Compensation self-insurance programs and compliance with monopolistic state fund regulations. This role is ideal for someone with experience managing multi-state regulatory filings who thrives in a deadline-driven environment. Candidates with relevant compliance, risk management, payroll, or workers’ compensation reporting experience will be given priority for interviews.

Must Haves

  • Experience managing workers’ compensation reporting, compliance, or regulatory filings across multiple states.
  • Strong understanding of qualified self-insurance programs and/or monopolistic state fund requirements.
  • Ability to manage multiple deadlines while maintaining exceptional attention to detail.
  • Experience working with payroll records, loss data, financial statements, and related compliance documentation.
  • Strong organizational and follow-up skills with the ability to coordinate with multiple stakeholders.
  • Proficiency using web-based reporting portals and maintaining accurate electronic records.
  • Excellent written and verbal communication skills with a customer-focused approach.
  • Experience in risk management, human resources, payroll, insurance brokerage, consulting, third-party administration, or a related compliance environment preferred.

What the Client Needs You to Do

In this role, you will serve as a trusted resource for clients by ensuring all required state filings are completed accurately and on time. You will coordinate with clients and external partners to collect documentation, monitor regulatory deadlines, and provide guidance throughout the reporting process. Success in this position requires strong organization, proactive communication, and the ability to manage multiple compliance activities simultaneously.

Key Responsibilities

  • Manage and maintain reporting schedules for multiple clients, entities, and state jurisdictions.
  • Coordinate the collection of payroll information, classification codes, hours worked, loss data, financial statements, actuarial reports, and other required documentation.
  • Monitor filing deadlines and proactively follow up with clients, third-party administrators, and other stakeholders to ensure timely submission of required information.
  • Review reporting status regularly and accurately enter required information into state reporting portals.
  • Guide clients through online certification and submission processes.
  • Provide instruction regarding required state payments and filing procedures.
  • Maintain complete and organized records of correspondence, documentation, payment confirmations, actuarial reports, and filing activity.
  • Assist clients with enrolling new entities into applicable state self-insurance or regulatory programs.
  • Coordinate reviews of surety bonds and other security requirements, requesting updates when appropriate.
  • Prepare and submit supporting documentation requested by state agencies to maintain regulatory compliance.

  • The ideal candidate has experience completing quarterly or annual workers’ compensation filings across multiple states within an employer risk management, human resources, payroll, insurance brokerage, consulting, third-party administrator, or regulatory agency setting.
  • Experience working directly with clients and navigating state compliance portals is highly desirable.
